QR check-in code for hotels

A well-thought-out sign at reception cuts down lines and repeated questions with no new software.

Online check-in doesn't require a new property-management system. For most small and mid-sized places, a web form linked from a QR code at the door or at reception covers the same need: collecting guest details before they arrive and giving them access instructions without waiting for staff.

What to put behind the code

  • A guest registration form (name, ID, check-in and check-out dates).
  • Access instructions: lockbox code, which doorbell, which floor.
  • Reception hours and a phone number for issues.
  • Basic house rules: quiet hours, pets, smoking.

If guest registration requires uploading an ID document, use a form with encryption (Google Forms and Typeform offer this) and delete the data once the legally required retention period ends. Don't improvise here: check what your country's regulations require before setting it up.

Two codes, not one

It's worth separating check-in from the rest of the information. One code at the street door or mailbox, visible before entering, for access; and another one inside, near the room or living-room entrance, with property information (WiFi, appliances, recommendations). Mixing both into a single sign forces the guest to dig through content they don't need at that moment.

Why 3D-printed and not a sticker

A sign at the street door is exposed to the weather: rain, direct sun, hands that touch it without meaning to. A paper sticker peels or fades within weeks. A plaque printed in PETG or ASA holds up for months outdoors without losing legibility, and can be mounted with the same screws as an intercom sign.

Style

For the access sign, prioritize contrast over looks: black on white or the property's brand color as long as it hits 3:1, with large letters above the code spelling out 'Check-in' or 'Reception' so it's recognizable at a glance, even at night.
